Who We Are

Save Tarpon Woods is a neighborhood-led preservation and advocacy effort focused on preserving the existing Tarpon Woods Golf Course and documenting wildlife, habitat, community, public-record, and land-use concerns related to that effort.

Information We Collect

We may collect information you voluntarily provide, including your name, email address, phone number, mailing or neighborhood address, supporter status, volunteer interests, wildlife observations, photos, document leads, event leads, tips, source URLs or references, location notes, and files you upload.

Our website may also collect technical information through Firebase, hosting logs, security logs, analytics or operational tools, including browser type, device information, IP address, timestamps, pages visited, and error information.

How We Use Information

• To review, verify, moderate, and organize resident submissions.
• To contact supporters who asked for alerts or volunteered to help.
• To publish approved public updates, wildlife evidence, documents, calendar items, and gallery content.
• To protect the website from spam, abuse, fraud, security threats, or unlawful conduct.
• To maintain a factual public record related to preservation, wildlife, habitat, public process, and neighborhood concerns.

Publication of Submitted Content

Nothing submitted by residents is intended to appear publicly without review. If a submission is approved, we may publish the title, description, date, general location notes, species information, source URL, uploaded image or file, and other relevant details. We will publish a submitter’s name only when the submitter has consented or when legally appropriate.

Service Providers

We use third-party service providers to operate the site, including Firebase/Google services for hosting, authentication, database, file storage, and Cloud Functions. We may use SendGrid or another email service provider for newsletters and alerts. Search-bot features may use SerpApi or similar search providers. These providers process information as needed to operate the website and related services.

Email Updates and Opt-Out

If you sign up for alerts, we may send advocacy updates, meeting notices, hearing notices, volunteer requests, newsletters, or related communications. You may opt out at any time through our unsubscribe page or by replying with an unsubscribe request. We will make reasonable efforts to honor opt-out requests promptly.

Data Sharing

We do not sell supporter lists. We may share information when you ask us to, when needed to operate the website, when publishing approved evidence or submissions, when responding to lawful requests, when protecting legal rights and safety, or when working with advisors, volunteers, experts, public agencies, or counsel in connection with the preservation effort.

Children

This website is not directed to children under 13. Children should not submit personal information without a parent or guardian.

Security

We use reasonable technical and organizational measures, including Firebase security rules and admin-only moderation workflows. No website can guarantee absolute security. Please do not submit Social Security numbers, financial information, medical information, or other highly sensitive information through this site.

Your Choices

You may request correction, deletion, or opt-out assistance by contacting the site administrator. Some information may be retained when needed for legal, security, moderation, public-record, or advocacy documentation purposes.

Property Incident Records: Purpose, Retention, and Retrieval

Property Incident Records submissions go only to Save Tarpon Woods for community documentation, pattern analysis, anonymous statistics, advocacy planning, and possible future community use. They are not automatically delivered to any owner, agency, insurer, attorney, court, or other outside recipient.

Save Tarpon Woods is not a permanent personal records custodian. Reports and attachments may be reviewed, summarized, de-identified, aggregated, archived, or deleted under approved policies and operational needs. We do not guarantee a retention period, completeness, or later retrieval by a resident or administrator. Residents must preserve their own complete copies and original evidence.

Information still in our possession may be preserved or disclosed when required by applicable law, a valid subpoena, court order, or other lawful process. A legal hold may suspend routine deletion. We do not delete records to avoid lawful discovery or preservation duties.

Polls, Surveys, and Communication Preferences

Some Save Tarpon Woods polls may be anonymous and some surveys are identified. The participation mode is disclosed before the first question. In an identified survey, authorized administrators may review the respondent’s individual answers. Individual identified responses are not publicly displayed with names, email addresses, telephone numbers, exact addresses, or other direct identifiers.

Participation is voluntary, and “Prefer not to answer” choices are provided where appropriate. Responses may be used to understand community views, prepare approved aggregate statistics, organize outreach, and manage requested communication topics. Survey answers and supporter lists are not sold. Requesting a communication category does not override a global unsubscribe request, and supporter-strategy access may require separate administrative approval.

Approved aggregate results may be published with methodology and participation limitations. Individual comments remain private unless the respondent separately and expressly authorizes publication. Survey information may be retained, archived, de-identified, or deleted under approved policies; no permanent-retention or future-retrieval guarantee is made. Information remaining in the system may be preserved or disclosed when required by applicable law or valid legal process.

Polls and surveys may be limited to adults registered through Save Tarpon Woods Join Alerts. A one-time email code verifies control of the subscribed address before subscription status, eligibility, or that subscriber’s survey history is displayed. Verification codes, survey-access sessions, and secure review links expire; review links work once. Verification does not subscribe, reactivate, or override a global unsubscribe, suppression, bounce, or complaint status. The first identified survey permits one current response per eligible adult subscriber. Survey answers may update requested communication topics and newsletter groups, while a global unsubscribe always controls delivery.
